Today’s Plan Masterclass: Top 10 Coach Efficiency Hacks

Hi everyone and welcome to this edition
of Today’s Plan master class. In this edition we’re going to be counting down the top ten tools that are built in Today’s Plan that can make your coaching
workflow more efficient. At number 10 we have grouping workouts by tag. When we activate our workout library there are three separate options here.
The first is grouping workouts by folder view or list view. The folder view looks
at the workout goals and equipment while the list view simply lists all workouts
in order. You may however wish to customize this toolbar and group your
workouts in custom folders. To do so we click on the workout build a menu button and toggle this group workouts by tag check box. Then when we’re in the folder view you’ll see these workouts are now all listed by these tags I’ve added when
creating the workout. You can use this in any way you like depending on your setup but I’ve made some examples here for you, such as workouts designed by specific
locations, workouts for specific terrains or workouts by skill level. Each of these
tags can be added to the workout through the edit workout window. At number nine we have the automated email templates that you can control. In this system we have a range of email templates that are triggered under certain conditions and
these include things like the daily email with athletes workouts, the weekly
summary email and a range of ready-set-go emails that can be
triggered in the lead up to events. Under your coaching settings page and emails tab we were able to view the full range of available templates. As an example I’m going to clone the event set template into my company, using this button and now you can see that I’m able to open it up and edit it. The event set email is triggered
a week before an athletes event. So you can put in here any type of general
advice you wish to send out pre-race. Coming in at number eight we have
implemented a range of keyboard shortcuts that can allow you to perform
common behaviours on the site, while removing the need for that extra click. The first keyboard shortcuts are on the calendar. If we want to move a workout from one day to another, I can click on this move button, drag it to another day then select move or copy. Instead if I click and hold the move button and hold down the shift key and drag the workout it will move it for me. I can also do the same action using the Alt key if I want to copy a workout from one day to another. The other keyboard shortcuts we
have are in the activity details page. When looking at the graph we’re able to
create a custom interval by zooming in on a selection of the graph and then
pressing this capture interval button. Alternatively, I can click and hold the
Alt key and drag my cursor across the graph and you’ll see this automatically
creates my interval. I can also quickly delete intervals by holding down the shift key and clicking on the interval name. At number 7 we have the ability to
drill into and out of graphs on the dashboard and access single files
quickly and easily. The prime example of this is in the daytime series charts. You can see here I’ve got a daytime series chart with our default field selected. The dashboard is set to display the last few years of data and you can see here I’m looking at my yearly ride totals. I can use this drill in and drill out function to quickly zoom in to a month by month, week by week, and day by day
view. I can then click on any column and it will show me all the activities that made up this period and from there I can quickly get straight into the single file. The zooming in and out can be performed on a range of graphs in the
dashboards, such as the scheduled verse completed, average power by heart rate,
distributions, scatters and time in zones charts. While clicking through to the
individual files can also be performed by the peak power tables. At number 6 with built-in data integrity rules and alerts. There is nothing more frustrating
and time-consuming for a coach than trying to track down straight data
points that might be ruining your file analysis. In the system you’re able to
set up data protection ceilings for power and heartrate that will
automatically discard, replace, substitute, or scale erroneous data points that fall
above the ceiling you’ve set. As an example I know this athlete will
likely never hit above 1500 watts, so I’m going to set his ceiling at this value and discard any data points that fall above this range and that way I can have more
confidence that his data is valid. In fifth place we have multi file and multi
athlete analysis. To set this up we want to go to the activity details page of a file. In this case I’m going to choose a recent Half Ironman Triathlon race. I want to compare how I’ve performed in a similar event. To do so I click on this intervals and peaks button and click here to search for other files. I can choose from any athletes associated with me for multi athlete analysis as well. The next step is to search for the comparative file and once I found it I can overlay it. You can see now I’ve got both activity graphs on top of each
other and I can use this to highlight peaks in each event, compare my pacing
strategies and look for any other patterns or trends. The other place that you can use multi athlete analysis is through the dashboards. Using this global settings or the individual settings for each panel, I can choose a range of
athletes to be shown on the dashboard graphs. This allows me to get a really
good high level view of athletes that might be training for similar events or athletes that train together. Coming in at number four we have our built in communication tools. Communication with your athletes is arguably the most important aspect of the coach athlete relationship. In Today’s Plan you can do a whole lot more than just leave a comment on a ride file. The first aspect of communication is our inbox. This inbox is a repository for all your athlete communication. You can use it like a regular email client to send messages and also send messages to groups you might have configured. On the site you’re able to customize the alerts that you as a coach receive about your athletes as well. This might be alerts based up the subjective ratings being triggered, or if their training data is affected by erroneous values. Of course you can also leave notes directly on an activity. You can link through to these via the inbox, or by clicking straight into the file and you
can add in a Notes widget on the activity details so you can record your
notes while doing more in-depth analysis of an activity. This methods far more efficient and far easier for you to manage than having your Whatsapp groups and your Facebook messages and your emails. In third place we have built in
progressive overloads on our workouts. This little trick allows you to create
up to six variations at the same workout, with little extra work. When adding in an interval you’ll see these increments and weeks section at the bottom. You can progress any interval in a workout by distance, duration, the number of
repetitions or the intensity. As an example of this in its simplest form
I’ve set up this zone to ride for one hour. I want to progress this every week for six weeks and add 30 minutes of duration. When I drag this workout into my calendar you’ll have the option to choose the workout you want to add and I’ve managed to create six zone two
insurance rides from one hour, up to three and a half hours, while only doing
the legwork for one session. On a more advanced level I might want to progress this run workout which has a main set of ten by four hundred meters. I’m going to putdown that this interval will progress every week by an additional two
repetitions. Now when I drag it into my calendar, I’m able to start out at my base level of ten by four hundreds, however, I’m gonna repeat the same
workout for three weeks and I’m going to use the over loads. Meaning that in week two I’ll be prescribed 12 by 400s and in week 3 14 by 400s. In second place we have our variable target structured workouts. What this means is that you can
create a single workout with a range of applicable targets. As an example I can create a running workout with both pace and power targets. This way those athletes who have adopted running power technology, can perform their workouts
based on those values, while those who are still running by pace are able to
get the correct workout targets for them as well. This allows you to create a single workout with each individual target, instead of potentially having
to create multiple variations at the same workout to account for which senses
each of your athletes train with. And to finish off our number one efficiency tool for coaches is our multi athlete prescription tools. To preface this, I’ll also include a recommendation to ensure There is a lot the calendar manual refresh toggle is turned on in your account. There is a lot of load calculations occurring in the background now in making changes to an athletes calendar and this allows you to
disable those calculations until you manually trigger them and will make the
calendar run a lot faster. To enable it, select the workout build a menu button
then enable manual refresh. To trigger the refresh we just click on this
refresh button up the top here. On to multi writer prescription. This is a
fantastic tool for those coaches who have athletes training for similar
events if you’re setting up a training camp or if you just have athletes on
similar programs. From your workouts toolbar we select the athletes tab. You can select an entire group of athletes or a range of athletes individually and when you drag a workout on to the calendar it can be applied to all of
them each, with their own workout target supplied. Alternatively if you’ve already created your weekly plan for one athlete and want to copy it to another select
all applicable athletes then using this plus symbol you can copy it straight onto the other athlete calendars.
